[ShipperGuide] User Roles

  • Updated

This article provides an overview of the default user roles in ShipperGuide and their associated permissions. In addition to these built-in roles, paid ShipperGuide accounts can create Custom Roles for more granular control — see the note at the end of this article.

Admin

Admins have full access to most features within their assigned location, but cannot switch between different location accounts.

Admin users can:

  • Edit user settings. Invite and remove other users.

  • Edit billing settings

  • Edit admin settings

  • Change user roles

Standard

Standard users have most of the same access as Admins, with the following restrictions:

Standard users cannot:

  • Add target rates to quotes

  • Switch between locations

Supervisor

Supervisors have the same level of access as Admins, except they can switch between multiple location accounts. Only Supervisors can access multiple locations or create new locations — this ability can't be granted or restricted through Custom Roles.

Need more control? Use Custom Roles

If your account is on a paid ShipperGuide subscription, Admins and Supervisors are not limited to these three defaults. Through User Access Management (UAM), you can create Custom Roles that grant, restrict, or set view-only access to specific ShipperGuide features — shipments, quotes, procurement, analytics, and more — rather than assigning one of the broad default roles.

This is especially useful if you manage many users with narrow, specific responsibilities (for example, a warehouse clerk who only needs to log receiving, or a procurement contact who creates shipments but shouldn't quote or book).

Start from ready-made Templates:

  1. All enabled: Access to all sections of ShipperGuide
  2. All disabled: Access disabled to all sections of ShipperGuide
  3. View-only: View-only access where users are not able to create, edit or change things on ShipperGuide
  4. Tracking view-only: Only access to tracking capabilities on ShipperGuide

Frequently Asked Questions (FAQ)

What's the difference between Admin and Supervisor?
Both have full feature access within a location, but only Supervisors can switch between or create multiple location accounts.

Can I create roles other than Admin, Supervisor, and Standard?
A: Yes, if your account is on a paid subscription. Use Custom Roles (User Access Management) to build roles with feature-level permissions. This isn't available on free ShipperGuide accounts.

Why can't I update a user's role at a location other than my own?
Only Supervisors can manage users across multiple locations. Admins and Standard users are limited to their assigned location, including for role changes.

A user is missing access to a report or feature even though they're an Admin — why?
Some features (like premium Analytics Portal reports) may depend on your account's subscription tier or a Custom Role's specific permissions, not just the base role. Contact support if you believe access is missing in error.

I edited a Custom Role — does it apply immediately?
Yes. Everyone assigned to that Custom Role instantly inherits any permission changes.
