Collect all information you need from drivers upon check-in:

Appointment Check-in Form:

Create the form the driver will fill out upon arrival. You can request information such as: Name and Last Name, BOL (or any type of document upload), pallet count…

Go to Warehouse > Fields & Forms > Gate Management > Check-in: Appointment Details

Click on Check-in: Appointment Details > MANAGE

  • Create or add fields to the Form
  • Order the fields in the order you want the driver to fill out the information

  • Edit Field Labels by clicking on the Pencil Icon or Hide them from the form if they are no longer needed (red icon)

  • Make sure to toggle Form Enabled (top right corner of the page) to make the form visible for driver’s checking in


Asset (or check-in without appointment) Form:

Manage the Form Drivers will fill out when they are checking-in. This form is designed to help the facility collect Asset (truck/container) information.

This is the only form drivers will see when they choose the option “I don’t have an appointment".

When they check-in to an appointment, they will first fill out the form for “Check-in: Appointment Details” and then be directed to the second form: “Check-in Additional Asset Details”

By default this form will ALWAYS request Phone Number and Carrier Name. These fields don’t need to be added by the facility.

  1. Warehouse > Gate Management: Set geofencing to “YES” and save
    Verifies drivers are within 1 mile radius of facility coordinates before check-in (when using their own device)

  2. Warehouse post check-in Instructions: Set a standard message to guide drivers after completed check-in

Notifications - Make sure to communicate the check-in process:

You can add text like:

“Check-in process requires drivers to scan a QR code and enter information”
“Drivers are required to have a reference # or confirmation # to check-in at facility”

Add the same information to your Warehouse instructions
Check-in Instructions:

Facility XYZ uses self check-in for incoming drivers.  Drivers arriving at the facility are requested to:

  • Scan QR Code at entrance

  • Input reference # of confirmation #

  • Fill in required information

  • Complete check-in

FAQ:

Can drivers check-in anytime regardless of when their appointment was scheduled?

  • Drivers can check-in within the window of 24 hours from the appointment start time

To what appointments can drivers check-in to?

  • Drivers can check-in only to appointments on the SCHEDULED status

How do I use Opendock to communicate with drivers?

  • Opendock requests Phone Number from drivers upon check-in. The information is uploaded to the arrival and to the appointment - you can use this number to get in touch with the driver (SMS or call)

My IPhone device does not scan the QR code. What can I do? 

  • There is an iOS setting that enables / disables QR Code scanning. It defaults to Enabled, but might be disabled on their case. Please follow the instructions in this link to ensure it is enabled.
