[Opendock] Gate Management Settings and FAQ

  • Updated

Opendock's Gate Management module lets warehouses collect the exact information they need from drivers as they check in, and now, that information can be tailored by Load Type. This article covers how to configure your check-in forms, geofencing, and post check-in instructions in Opendock.

Setting Up Your Check-in Forms:

Appointment Check-in Form

Create the form the driver will fill out upon arrival. You can request information such as: First and Last Name, BOL (or any type of document upload), pallet count, and more.
  1. Go to Warehouse > Fields & Forms > Gate Management > Check-in: Appointment Details
  2. Click on Check-in > MANAGE
  3. Create or add fields to the form
  4. Order the fields in the sequence you want drivers to fill them out
  5. Edit field labels by clicking the pencil icon, or hide fields you no longer need using the red icon
  6. Toggle Form Enabled (top right corner of the page) to make the form visible to drivers checking in

Load Type–Specific Check-in Forms (New)

Check-in forms can now be configured per Load Type instead of one form applying to every appointment. This means you can collect different information depending on the type of visit — for example, a simpler form for Inbound loads and a more detailed one for Outbound loads.

  1. From the same Warehouse > Fields & Forms > Gate Management > Check-in page, select the Load Type(s) this check-in form should apply to
  2. Add, order, and label fields as described above — these fields now apply only to appointments of the selected Load Type(s)
  3. Repeat the process for any other Load Types that need a different check-in experience
Note: Load type-specific check-in and the accompanying new check-in experience are rolling out gradually to all customers. If you don't yet see the Load Type selector, this feature may not be enabled for your warehouse yet.

Asset (Check-in Without Appointment) Form

Manage the form drivers fill out when checking in without an appointment. This is the only form drivers see when they choose "I don't have an appointment." When drivers check in to an appointment, they first fill out the Check-in: Appointment Details form, then are directed to this second form, Check-in Additional Asset Details.

By default, this form always requests Phone Number and Carrier Name — these fields don't need to be added by the facility.

Go to Warehouse > Edit Warehouse > Fields & Forms > Asset Details > Manage:
Geofencing and Post Check-in Instructions:

Under Warehouse > Settings > Gate Management, you can set geofencing to "Yes" to restrict self check-in to drivers within a set radius of your facility, and customize the message drivers see once check-in is complete.

FAQs

Q: Can I have different check-in forms for different Load Types?

A: Yes — this is a new capability. Select the Load Type(s) each form applies to under Fields & Forms > Gate Management > Check-in.

Q: What information does the default Asset form always collect?

A: Phone Number and Carrier Name are always requested by default; you don't need to add these fields yourself.

Q: I don't see the option to select a Load Type for my check-in form — why?

A: This feature is rolling out gradually. If you don't see it yet, it may not be enabled for your warehouse.

Q: Where do I find my facility's check-in QR code?

A: Under Warehouse Settings > Gate Management, where you'll also find your Check-in Template Sign.
