[Opendock] Enabling Tag Notifications for Appointments

  • Updated

Opendock allows you to trigger notifications when specific tags are added to an appointment. These tag-based notifications can be enabled through either My Organization Settings or Warehouse Settings. Follow the steps below to set them up:

Step 1: Create Your Desired Tag(s)

First, create your desired tags in the Appointment Tags section under the My Organization tab. For more details, check out this link.

Note: Ensure that the bell icon next to the tag is not highlighted in red, as this will prevent the notification from being triggered.

Step 2: Enabling the Tag Notifications

Via My Organization Settings

  1. Go to My Organization.
  2. Click on Org Settings.
  3. Locate the Appointment Notifications section.
  4. Select YES for "Enable Org Appointment Notifications."
  5. Check the box for the last email notification type: Appointment Tagged.
  6. Click Save to apply changes.

Via Warehouse Settings

  1. Select the warehouse you want to configure.
  2. Click on Warehouse Settings.
  3. Locate the Appointment Notifications section.
  4. Select YES for "Enable Org Appointment Notifications."
  5. Check the box for the last email notification type: Appointment Tagged.
  6. Click Save to apply changes.

Carrier ETA Notifications

To receive email notifications when a carrier adds their ETA to an appointment, you can enable these notifications either through My Organization or Warehouse Settings.

Step 1: Create ETA Tags

First, create the following ETA tags under My Organization:

  • ETA: Early
  • ETA: Late
  • ETA: OnTime

Step 2: Enable Notifications

Follow the steps for My Organization or Warehouse Settings as described above to enable notifications for the ETA tags.

By setting up tag notifications, you can stay informed about important changes to appointments, such as carrier ETA updates, ensuring that your team is always in the loop.

FAQ

Q: My tag is applied to an appointment, but I'm not getting an email. Why?
Check that the bell icon next to the tag isn't highlighted red (muted), and confirm "Appointment Tagged" is checked under Appointment Notifications in the relevant Org or Warehouse Settings.

Q: Should I enable this at the Organization level or the Warehouse level?
Use Organization Settings if you want the rule applied across every warehouse in your org; use Warehouse Settings if you only want it for a specific location.

Q: Do I need all three ETA tags, or can I just use one?
You can create and enable just the ones you care about (e.g., only "ETA: Late"), but most teams set up all three for full visibility.

Q: Can a tag trigger a notification without being manually applied by a user?
Yes — ETA tags, for example, are applied automatically based on the carrier's submitted ETA, and will trigger a notification the same way a manually applied tag would, as long as notifications are enabled.
